Bilingual Dental Assistant Team Lead

** This is a new position to support the operations of our Dental Clinic.  The position will be based at our NEW integrated Health Center at 321 N. La Grange Road, La Grange Park, IL 60526. **

SUMMARY

The Dental Assistant Team Lead manages the day-to-day workflow of the dental clinic.  Responsible for co-supervising the Dental Assistants and ensures schedules support the needs of the program and the patients in our community.  Works regularly with the front desk staff on coordinating staff schedules to maximize availability for patient access.

Also provides skilled dental clinical support to assist the Dentist(s) and Hygienist(s) in the dental operatory. Assist with referrals, sets up operatory, sterilizes tools, sanitizes chairs and equipment according to standard, monitor patients during treatment, provides clerical, clinical and maintenance support for the effective functioning of the Dental Center; provides interpretation services between patient and provider(s) as necessary helping patients maintain and improve their oral health. Treats patients professionally and with dignity.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Team Lead Responsibilities:

  • Provides supervisory responsibilities for the Dental Assistants in accordance with PCH’s policies and applicable laws. Responsibilities include but are not limited to hiring and training staff; planning, assigning, and directing work; evaluating performance and clinical competencies, providing coaching and development, addressing concerns, resolving problems, and completing day-to-day administrative documentation.
  • Coordinate the day-to-day flow for the dental clinic. Conducts regular check-in meetings/huddles with staff.
  • Coordinates with the front desk in managing the schedule and adjusting patient appointments based on day-to-day absences and changes in staff scheduling. Additionally, works with front desk and provides guidance on adjusting appointments to accommodate the needs of the patient.
  • Schedules Dental Assistants to ensure appropriate coverage across the hours of operation and to maximize patient access, satisfaction, and provider availability.
  • Communicates regularly with patients as guided by providers; ensures communication guides, educates, and assures patients as well as support the patient care mission of the organization.
  • Coordinates the day-to-day coverage for sterilization of dental equipment and operatories.
  • Maintains inventory of the dental equipment and is responsible for ordering supplies as they are needed.
  • Responsible for coordinating the maintenance of the equipment in the clinic. Notifies supervisor of any issues with equipment so that repairs can be made.
  • Works with the Dental Patient Care Coordinator in managing patient referrals.
  • Responsible for training Dental Team on using the Electronic Health Record and navigating the system appropriately. Conducts training with team members and maintains knowledge as a Super-User for the system.
  • Develops Dental Scheduling templates for the Electronic Health Record and trains Dental team and Health Center Support Staff on details.
  • Processes regular E.H.R reports and utilizes data to ensure the schedule is consistently filled. Looks at scheduling, cancellation data, and seasonal trends and utilizes the information to build the schedule.  Communicates regularly with the PSR team to utilize the data to maximize patient access.
  • Works with the Operations Leads to utilize the E.H.R for patient communication with scheduling.
  • Assists with workplace safety/compliance and infection control.
  • Monitors Incident Reports. Works with Operations/Quality/Risk staff to evaluate trends in incidents and assists with resolution of IRs
  • Assists the VP with preparation for on-site compliance reviews

Dental Assistant Responsibilities:

  • Assists dentists with all dental procedures including surgery
  • Constructs night guards
  • Conducts patient education programs
  • Distributes patient education materials, and explain treatment
  • Cleans, sterilizes and maintains dental equipment and operatories as appropriate
  • Schedules appointments as necessary
  • Participates in continuing professional development to keep informed of clinical practices
  • Answers inquiries about dental services
  • Provides accurate Spanish/English interpretation for dentists, dental hygienists, and patients and translates written materials as needed
  • Performs general clerical duties
  • Maintains patient information and confidentiality in accordance with applicable laws and agency policies
  • Adheres to Pillars Community Health guidelines related to Radiation Safety, Infection Control, Patient Safety and customer service

OTHER

  • Adhere to OSHA guidelines for a safe work environment
  • Follows all rules required to comply with confidentiality and HIPAA policies.
  • Complies with applicable laws and regulations and the corporate compliance program of Pillars Community Health.
  • Meets agency health and immunization requirements
  • Performs other duties as assigned

QUALIFICATIONS

EDUCATION & EXPERIENCE:

  • High School Graduate or GED equivalent
  • Current Illinois Dental Assistant Certification preferred.
  • At least five (5) years of prior experience as a Dental Assistant required.
  • Prior experience with coordinating the sterilization of equipment and operatories is required.
  • Prior experience working in a non-profit or community health center preferred.
  • Coronal polishing and sealant certification required.
  • Supervisory or Team Lead Experience required.

LANGUAGE
Bilingual English/Spanish required
.  Experience providing accurate Spanish/English interpretation and translating written materials into English is preferred.

DEMONSTRATED COMPETENCIES:

  • Chairside assistance.
  • CPR certified.
  • Ability to communicate dental procedures and terminology to and with patients & dental professionals.
  • Ability to work with a diverse range of staff and patients – practices with cultural humility.
  • Ability to multi-task and prioritize multiple tasks from more than one person at a time.
  • Must be proficient with Microsoft Office (Word, Excel, Access, Outlook, ECW or other EHR software).
  • Demonstrates flexibility and teamwork
  • Ability to read and interpret maintenance instructions, procedure manuals, Safety Data Sheets.

WORKING CONDITIONS

Varied settings within the multi-site organization mostly offices, conference areas, community meetings and professional meetings.

SCHEDULE:

  • MONDAY- 8:00AM – 5:30PM
  • TUESDAY – 8:00AM – 6:30PM
  • WEDNESDAY – 8:00AM – 5:00PM
  • THURSDAY – 8:00AM – 5:00PM
  • FRIDAY – 8:00AM – 2:00PM
  • SATURDAY – 1 Sat a month on a rotating schedule
